1. Who We Are and Scope of This Policy

Monthly Dignity is a nonprofit organization working to address the causes and consequences of period poverty in Montreal by providing free menstrual products, offering menstrual health education, and advocating for menstrual equity. Our website address is https://monthlydignity.org.

This policy describes how personal information is collected and handled through our website, including our donation and newsletter platform (Keela) and the forms available on the site. It is maintained consistently with the organization’s Loi 25 Compliance Program, our internal framework for the protection of personal information under the Act Respecting the Protection of Personal Information in the Private Sector (Loi 25).

2. Privacy Officer

The role of Privacy Officer is held by the Executive Director. Any question, request, or complaint regarding the protection of personal information can be addressed to: directors@monthlydignity.org

Requests receive a response within thirty (30) days.

3. What Personal Information We Collect

We collect only the information necessary for our activities. Consent is requested at each point of collection for the purposes identified there; this policy explains those purposes.

4. Analytics and Cookies

We use Google Analytics to understand how visitors use our site. This tool collects usage data such as pages visited, approximate geographic location, device and browser type, and how you arrived at our site. This data is aggregated and does not directly identify you. We also use Google Search Console, which provides us with aggregated search data and does not collect information from your visit.

Analytics cookies are used only with your consent, which you can give or decline through the cookie notice displayed on your first visit.

5. Embedded Content

Some pages embed our own content hosted on YouTube and Instagram. When you view a page containing embedded content, these platforms may collect data about your visit and use their own cookies, as described in their respective privacy policies.

6. Communication to Third Parties

We share personal information only with service providers that support our activities, subject to contractual protection measures. Your donation and newsletter subscription information is processed through Keela, our donor management platform, which acts as a processor and handles your data in accordance with its own privacy policy and applicable laws.

Information necessary for issuing tax receipts may be shared with the Canada Revenue Agency and Revenu Québec, in accordance with legal obligations.

No personal information is sold, rented, or exchanged with third parties for commercial purposes.

Personal information handled through the website is processed by our service providers (Keela and Google), whose servers may be located outside Quebec. These transfers were assessed in accordance with Loi 25 before the tools were adopted.

7. Security of Information

Monthly Dignity applies administrative, technical, and physical protection measures to protect your personal information against unauthorized access, disclosure, modification, and destruction. Access to information submitted through the website is limited to the people who need it for the purposes identified above. Payment transactions are processed securely through Keela with SSL/TLS encryption.

8. Retention and Destruction

Information collected through the website is retained for the periods below, which reflect applicable legal time limits, and is then securely destroyed.

9. Your Rights

In accordance with Loi 25, any person whose personal information we hold has the following rights:

  • Access: Obtain a copy of the information held about them
  • Rectification: Correct any inaccurate or incomplete information
  • Withdrawal of Consent: Request that their information no longer be used, within the limits allowed by law; for the newsletter, the unsubscribe link included in each message can be used at any time
  • Portability: Obtain a copy of the computerized personal information we hold about them in a structured, commonly used technological format
  • Complaint: File a complaint with the Commission d’accès à l’information du Québec (www.cai.gouv.qc.ca) if they believe their rights have not been respected

10. Changes to This Policy

This policy is reviewed annually, and whenever the organization adopts a new tool or platform that handles personal information through the website. The most recent version is always available on this page with the last update date.
